Air conditioning/Air conditioning quote template
Ducted air conditioning quote template (Australia)
Ducted systems are a big-ticket job, and customers often hold two or three quotes that look nothing alike. Itemising the unit, the ducting, the outlets and the zoning makes yours easy to compare and shows exactly what they're getting.
Line items to include
- The ducted system (indoor and outdoor unit), with brand, capacity in kW and reverse cycle or cooling only
- Insulated flexible ducting, spigots and take-offs
- Supply air outlets, with the quantity
- Return air grille and filter
- Zone motors and the zone controller, with the number of zones
- Refrigerant pipe, outdoor slab or brackets, electrical circuit and isolator
- Labour (hours × your rate) for install and commissioning
Sizing and design
Say what the system was sized for (the rooms or floor area served) and where outlets and the return air grille will go. If the customer is choosing between capacities, quote them as options rather than changing one total, so they can compare like for like.
Licences and electrical work
Refrigerant handling needs an ARCtick refrigerant handling licence, and the electrical connection must be done by a licensed electrician, with the certificate of electrical safety or compliance required in your state or territory. Put your licence numbers on the quote. Switchboard or supply upgrades are usually excluded unless you've checked and priced them.
Exclusions that protect you
Common exclusions are removing an old ducted heater, ceiling repairs, roof space access beyond standard, and a three-phase or supply upgrade. Write down assumptions such as enough roof space height for the indoor unit.
Showing materials markup and GST
Enter the system and ducting at cost and let your markup apply, so the customer sees one price per line. If you're registered for GST, show the ex-GST subtotal, GST at 10% and the total.

Common questions
Should a ducted quote list the number of outlets and zones?
Yes. Outlets and zones are what customers compare between quotes, so list the quantities clearly.
Who does the electrical work on a ducted install?
A licensed electrician. Many installers include the new circuit and isolator as a line and exclude switchboard or supply upgrades unless they've been checked.
Should I include removing the old heater?
Only if you're doing it. Otherwise list it as an exclusion so the customer isn't surprised on the day.
