Air conditioning/Air conditioning quote template
Split system installation quote template (Australia)
Split system quotes get compared side by side, often on price alone. A quote that spells out the unit, the standard install, the electrical work and what costs extra shows the customer why yours is worth it and stops arguments about long pipe runs on the day.
Line items to include
- Labour (hours × your rate) for the install, pressure test, vacuum and commissioning
- The unit itself, with capacity and type (for example 7.1kW reverse cycle split, indoor and outdoor)
- Install kit: pair coil up to a stated length, insulation, drain hose and cable
- Outdoor unit bracket or pad
- Dedicated circuit, RCBO and outdoor isolator, done by a licensed electrician
- Removal of an old unit, if it's part of the job
Say what a standard install covers
Most disputes on split systems come from the install being harder than expected. State the pipe run included (for example back-to-back, up to 5m), that longer runs are charged per metre, and whether the outdoor unit goes on a wall bracket, a pad or the roof. Note any assumptions about wall construction and switchboard access.
Licences and compliance
Refrigerant must be handled by someone with an ARCtick refrigerant handling licence, so put your licence number on the quote. The new circuit and isolator must be done by a licensed electrician, or a restricted licence holder where your state allows it, and the certificate of electrical safety or compliance required in your state or territory issued. Exclude switchboard upgrades if the board has no room or capacity.
Showing materials markup and GST
Enter the unit and install kit at your cost and let your markup apply, so the customer sees one price per line. If you're registered for GST, show the ex-GST subtotal, GST at 10% and the GST-inclusive total.

Common questions
Should a split system quote include the electrical work?
It's clearer if it does, as its own line, with a note that it's done by a licensed electrician and the certificate required in your state or territory is issued. If the customer arranges their own electrician, list it as an exclusion.
How do I handle long pipe runs on a split system quote?
State the length included in the standard install and a per-metre rate for anything longer, so extra pipe on the day isn't a surprise.
Does the quote need my ARCtick licence number?
Anyone handling refrigerant needs an ARCtick licence, and showing the number on the quote tells the customer the job is being done properly.
