Hot water system replacement quote template (Australia)
Hot water replacements are often urgent, so the customer is comparing quotes fast. A clear, itemised quote that spells out what's included (and what isn't) is how you win the job without arguments later.
Line items to include
- Labour to remove the old unit and install the new one (hours × your rate)
- The new unit itself, with type and capacity (for example 315L electric storage, gas continuous flow, heat pump)
- Tempering valve, where one is needed for the installation
- Fittings, valves, copper and sundries
- Removal and disposal of the old unit
- A callout fee, if you charge one for this job
Inclusions and exclusions that prevent disputes
Say what happens to the old unit, that you'll test and commission the new one, and that a compliance certificate will be issued where your state requires one. Common exclusions are electrical work beyond a like-for-like disconnect and reconnect (done by a licensed electrician), gas supply upgrades, relocating the unit, and fixing existing non-compliant pipework you find on the day.
Rebates and switching to a heat pump
If the customer is switching to a heat pump or solar system, state and federal rebate schemes may apply, and they change often. Don't put a rebate amount into the quote total unless you're applying it yourself. Note it as an assumption and point the customer to the scheme's official website.
Showing materials markup and GST
Enter the unit at your cost and let your markup apply, so the customer sees one price per item. If you're registered for GST, show the ex-GST subtotal, GST at 10% and the GST-inclusive total.

Common questions
Should a hot water quote include disposal of the old unit?
It's best to list it either as an inclusion or as a separate line, so the customer knows the old unit won't be left on site.
Who does the electrical disconnect on an electric hot water unit?
Electrical work must be done by a licensed electrician. Many plumbers list anything beyond a like-for-like disconnect and reconnect as an exclusion, or include an electrician's line if they arrange it.
How long should a hot water quote be valid?
Many tradies use 30 days because unit prices change. Whatever you choose, print the validity date on the quote.
